The disconnect wasn't immediately obvious. During the evaluation phase, the tool had performed well in demos. The vendor had addressed every concern. The feature comparison spreadsheet showed clear advantages over competitors. But somewhere between selection and adoption, the implementation had stalled. The team had reverted to their old system—a patchwork of spreadsheets and email—because it felt more manageable than the sophisticated tool they'd purchased. This pattern repeats more often than organizations realize. Because the things that are hard to do tend not to get done, regardless of whether the capability technically exists. It also means being honest about organizational capacity. A tool that requires significant configuration and ongoing maintenance might be the right choice for an organization with dedicated resources to manage it. The same tool might be the wrong choice for an organization where the tool needs to work with minimal ongoing attention. The feature list looks the same in both cases.
